The short version. If you send us an enquiry, we use your details to reply and, if you decide to work with us, to plan your project. We don't use cookies, we don't run analytics or advertising trackers, and we won't add you to a mailing list or sell your details.
Who we are
This website is run by Web Design Newport ("we", "us", "our"). We are responsible for the personal information you give us through this website, which makes us the controller of that information under UK data protection law.
You can contact us about anything in this policy:
- By email: hello@telsamedia.com
- By phone: +44 20 8686 4577
- By post: Web Design Newport, 88 Stafford Rd, Wallington SM6 9AY, United Kingdom
What we collect and why
When you send us an enquiry
Our enquiry form asks for:
- your name and email address
- your phone number, if you choose to give it
- the service you're interested in and a rough budget
- your message
The form also records which page of the website you sent it from, so we have a little context when we reply.
We use this information to answer your enquiry, to ask any follow-up questions and, if you decide to go ahead, to prepare a proposal and plan your project. Your enquiry is sent by email to our team's inboxes. It is not stored in a database on the website.
If, for some reason, the email can't be sent when you press the button, your enquiry is saved to a private file on our web server instead, so it isn't lost. It is kept there only until we've picked it up and replied.
Information we keep to prevent abuse
To stop automated spam and people flooding the form, we keep a one-way hashed version of the IP address an enquiry was sent from. A hashed address can't be turned back into the original. We use it to limit how many enquiries can be sent in a short time, and it is deleted after about two hours.
When the form blocks an obvious spam attempt, we log the time and the reason it was blocked. That log doesn't include anything you typed into the form.
Server logs
Like almost every website, ours runs on a hosting provider's servers. Hosting providers usually keep standard server logs, which can include your IP address, the type of browser and device you're using, the pages you asked for and when. These logs are used to keep the website secure and running properly, and are kept for a limited period.
What we don't collect
This website doesn't set cookies, doesn't use analytics or advertising tools and doesn't include social media widgets or embedded maps. Our fonts, icons and scripts are stored on our own server, so loading a page doesn't send your details to Google Fonts or any other outside service.
Our services are aimed at businesses and we don't knowingly collect information from children.
Our lawful bases
UK data protection law says we need a valid reason, called a lawful basis, for using personal information. We rely on:
- Legitimate interests when we reply to your enquiry and when we keep the website and form secure. It's in our interest, and we think in yours, that we can answer the questions you send us and stop spam getting through.
- Steps before entering into a contract when you've asked us for a quote or a proposal and we use your details to prepare one.
If you go on to become a client, we'll explain in our proposal and agreement how we use the information needed to run your project.
Who we share it with
We don't sell, rent or trade your personal information. The only organisations that handle it on our behalf are:
- our email provider, which delivers and stores the enquiry emails we receive
- our hosting provider, which runs the server this website is on
They act on our instructions and are not allowed to use your information for their own purposes. We may also share information if the law requires us to.
How long we keep it
We keep your enquiry for as long as we need it to deal with your request and with any project that follows. If an enquiry doesn't lead to any work, we won't keep it for longer than we reasonably need to.
The hashed IP addresses used for rate limiting are deleted after about two hours. Spam log entries contain no personal details. If an enquiry had to be saved on the server because the email couldn't be sent, it's removed once we've dealt with it.
International transfers
Some email and hosting providers store or process information on servers outside the UK. Where that happens, we expect them to protect it with safeguards recognised under UK data protection law, such as adequacy regulations or approved contract clauses.
Keeping it safe
We take sensible steps to protect your information. Enquiry emails go only to our team, the files on our server that could contain personal information are kept private and can't be opened from the web, and the form is checked on the server before anything is sent. No website or email system can be guaranteed completely secure, but we work to keep the risk low.
Your rights
Under the UK General Data Protection Regulation (UK GDPR) you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that's wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information where we rely on legitimate interests
- ask for your information in a format you can take elsewhere, where that applies
Some of these rights only apply in certain situations. To use any of them, email hello@telsamedia.com. There's normally no charge, and we'll reply within one month. We may need to confirm who you are before we act on a request.
Cookies
This website doesn't use cookies. Our cookie policy explains this in more detail, including what your browser may still store on its own.
Links to other websites
Some pages link to other websites. For example, our contact page links to Google Maps so you can see where we're based. Once you follow a link like that, you're on someone else's website and their own privacy policy applies, so it's worth reading it.
Changes to this policy
We'll update this policy if the way we handle information changes, for example if we ever add analytics to the website. The date at the top of the page shows when it was last changed.
Contact us and complaints
If you have a question or a concern about how we've handled your information, please talk to us first at hello@telsamedia.com or on +44 20 8686 4577. We'll do our best to put things right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
